1. Introduction
Welcome to Adhama Africa Adventures (“Company”, “we”, “our”, “us”). These Terms and Conditions govern all bookings, services, and interactions with our tour operations. By booking a tour or using our services, you agree to be bound by these Terms and Conditions.
2. Booking and Payments
- A deposit of 30% of the total tour cost is required to confirm a booking.
- The remaining balance must be paid at least 30 days before the start of the tour.
- For bookings made within 30 days of the tour, full payment is required.
- Payments can be made via bank transfer, card, or mobile money.
3. Pricing
- All prices are quoted in USD unless otherwise stated.
- Prices may change due to park fee increases, fuel costs, or government regulations.
- Confirmed bookings are price-protected except for mandatory government changes.
4. Cancellation Policy (Including Peak Season Exceptions)
Standard Cancellation:
- 60+ days before departure: Full refund minus admin fees
- 30–59 days: 50% refund
- Less than 30 days: No refund
Peak Season (Non-Refundable Conditions Apply): Applies during:
- Great Migration (June–October)
- Christmas & New Year (Dec 20 – Jan 10)
- Easter Holidays
During peak periods:
- Deposits are non-refundable
- Some lodges and camps are 100% non-refundable once booked
- Date changes may incur penalties or full rebooking costs
No refunds for:
- No-shows
- Early departures
- Unused services
5. Changes and Amendments
- All changes must be requested in writing.
- Changes are subject to availability.
- Additional costs may apply.
6. Travel Insurance (Mandatory Recommendation)
All clients are strongly advised to have comprehensive travel insurance covering:
- Trip cancellation
- Medical expenses
- Emergency evacuation (including air evacuation)
- Personal liability
7. Health and Safety
- Clients must ensure they are medically fit for travel.
- Required vaccinations (e.g., Yellow Fever) are the client’s responsibility.
- We may refuse participation if safety is at risk.
8. Safari-Specific Risks and Acknowledgment
By booking, clients acknowledge the inherent risks of safari travel, including:
Wildlife Risks:
- Encounters with wild animals (unpredictable behavior)
- Risk of injury despite professional guidance
Remote Travel Risks:
- Limited access to hospitals or emergency services
- Delays in evacuation or communication challenges
Road & Transport Risks:
- Rough, unpaved, or unpredictable road conditions
- Mechanical breakdowns in remote areas
Environmental Risks:
- Extreme weather conditions (heat, dust, rain)
- Insect bites and tropical diseases
Clients agree to follow all guide instructions at all times.
9. Liability
- We act as an agent for accommodation, transport, and other suppliers.
- We are not liable for acts, errors, or omissions of third-party providers.
- We are not responsible for:
- Injury, loss, or damage
- Delays or disruptions
- Force majeure events
10. Force Majeure
We are not liable for failure to perform due to events beyond our control including:
- Natural disasters
- Pandemics
- Government restrictions
- Political unrest
11. Client Responsibilities
- Comply with local laws and regulations
- Respect wildlife and conservation rules
- Follow all safety instructions
12. Passports, Visas, and Documentation
- Clients are responsible for valid passports, visas, and entry requirements.
- We are not liable for denied entry.
13. International Client Compliance (EU/UK/US)
For international travelers:
- We operate in accordance with general international travel standards.
- Clients from the EU/UK may have additional consumer rights under applicable travel laws.
- US clients are advised to review their travel insurance and liability coverage.
- By booking, clients agree that Tanzanian law governs the contract unless otherwise required by their home jurisdiction.
14. Data Privacy (GDPR-Inspired Compliance)
We respect your privacy and commit to protecting your personal data.
We may collect:
- Name, contact details, passport information
- Payment details
- Travel preferences
We use your data to:
- Process bookings
- Communicate trip details
- Improve our services
We do NOT sell your data.
Data may be shared with:
- Lodges, airlines, and service providers (only as necessary)
Your rights include:
- Access to your data
- Request correction or deletion
By booking, you consent to data processing as outlined.
15. Photography and Marketing
We may use photos/videos taken during tours for marketing unless you opt out in writing.
16. Complaints
- Report issues immediately during the tour.
- Submit formal complaints within 14 days after the tour.
17. Governing Law
These Terms are governed by the laws of the United Republic of Tanzania.
